This Privacy Policy is published in accordance with the Information Technology Act, 2000, the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, and the Digital Personal Data Protection Act, 2023 (DPDP Act). By using freshOk, you agree to the practices described here.
1. Who we are
freshOk is a product of Raspil Private Limited, a company incorporated under the Companies Act, 2013, with its registered office in India. We provide an AI-powered retail operations platform to grocery retailers, FMCG chains, and related businesses.

Information you provide directly
- Name, business name, and contact details when you register or request a demo
- Email address and phone number for communication
- Billing and payment information for subscription processing
- Store and business data you upload or connect to freshOk
Information collected automatically
- Transaction and sales data from your connected POS and ERP systems
- Inventory, pricing, and SKU data synced from your systems
- Usage logs, feature interactions, and session data on the freshOk platform
- Device information, IP address, and browser type when you access our web platform
Information from third parties
- Data from connected supplier portals and ERP integrations you authorise
- Payment verification data from payment processors
3. How we use your information
We use the information we collect to:
- Provide, operate, and improve the freshOk platform and its AI modules
- Generate demand forecasts, pricing recommendations, inventory alerts, and expiry notifications
- Process payments and manage your subscription
- Send you product updates, service notifications, and support communications
- Respond to your queries and provide customer support
- Comply with applicable laws and legal obligations
- Detect and prevent fraud, abuse, and security incidents
We do not sell your personal data or business data to third parties. We do not use your data for advertising purposes.
4. Legal basis for processing
Under the Digital Personal Data Protection Act, 2023, we process your personal data on the following bases:
- Consent — where you have provided explicit consent, such as when registering for an account or requesting a demo
- Contract — where processing is necessary to perform our contract with you, including delivering the freshOk platform
- Legitimate interests — where we have a legitimate business interest, such as improving platform security and performance
- Legal obligation — where we are required to process data to comply with applicable Indian law
5. Data sharing and disclosure
We share your information only in the following circumstances:
- Service providers — cloud hosting providers, payment processors, and analytics tools engaged to support freshOk operations, bound by confidentiality obligations
- Legal requirements — where required by Indian law, court order, or government authority
- Business transfers — in the event of a merger, acquisition, or sale of assets, with advance notice to you
- With your consent — in any other case, only with your explicit written consent
6. Data storage and security
Your data is stored on servers located in India. We implement industry-standard security measures including encryption in transit (TLS), encryption at rest, access controls, and regular security audits in accordance with the IT (Reasonable Security Practices) Rules, 2011.
While we take all reasonable precautions, no system is completely secure. In the event of a data breach affecting your personal data, we will notify you as required under applicable law.
7. Data retention
We retain your personal data for as long as your account is active or as needed to provide our services. Business transaction data is retained for a minimum of 7 years in accordance with Indian accounting and tax laws. You may request deletion of your personal data subject to our legal retention obligations by writing to pawan@freshok.in.
8. Your rights under the DPDP Act, 2023
As a data principal under the Digital Personal Data Protection Act, 2023, you have the right to:
- Access the personal data we hold about you
- Correct inaccurate or incomplete personal data
- Withdraw consent for processing, where consent is the basis
- Nominate a person to exercise your rights in the event of your death or incapacity
- File a complaint with the Data Protection Board of India

9. Cookies and tracking
Our website uses essential cookies for session management and platform functionality. We do not use third-party advertising cookies. You can control cookies through your browser settings; however, disabling essential cookies may affect platform functionality.
10. Children's privacy
freshOk is a business-to-business platform and is not directed at individuals under the age of 18. We do not knowingly collect personal data from minors. If you believe we have inadvertently collected such data, contact us immediately at pawan@freshok.in.
11. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be communicated by email or by a prominent notice on the platform at least 15 days before they take effect. Your continued use of freshOk after the effective date constitutes acceptance of the updated policy.
12. Grievance redressal
In accordance with the IT Act, 2000 and the DPDP Act, 2023, the name and contact details of our Grievance Officer are provided below. Any grievance must be submitted in writing and will be addressed within 30 days of receipt.
